The Senior Executive Assistant to the CEO will be responsible for

  • Providing high-level administrative support for the Chief Executive Officer.
  • Routinely exercising sound, and where appropriate, independent judgment related to certain financial and scheduling matters.
  • Assisting in drafting and reviewing both internal and external communications for the CEO.
  • At times and where specifically authorized, the Senior Executive Assistant to the CEO may enter into vendor relationships on behalf of the company.
  • Exercising discretion to effectively manage the administrative components and will serve as gatekeeper to the Executive Management team and Board of Directors.
  • Exercising discretion, confidentiality and independent judgment in matters related to supporting the CEO and the Board of Directors.

Key Responsibilities & Duties:

  • Anticipating needs of the CEO regarding tasks, scheduling, making travel arrangements, coordinating domestic and international flights, accommodations and other itinerary specifics
  • Coordinates meetings, reserves conference rooms, prioritizes functions and appointments, ensuring that meetings, presentation deadlines and other duties for the CEO are carried out seamlessly
  • Drafting of communications for the CEO and reviewing email, letters, press releases and other forms of communication
  • Use of independent business and administrative judgment in key areas to support the CEO
  • General administrative duties such as planning events, distributing information, drafting agendas and executing executive-level documents
  • Using independent judgment in preparing reports and correspondence for the CEO
  • Exhibiting professional demeanor and appropriate representation of Executive department is critical
  • Filing, maintenance as corporate custodian, and effective management of corporate documents
  • Coordinating the CEO’s travel and maintaining his calendar
  • Professional interaction with Executives, Board members and staff
  • Entering into contracts and relationships with vendors for supplies and other administrative goods and/or services as needed for the CEO and executive office
  • Collects and prepares information for the use in discussions or meetings of Executive staff and outside individuals
  • May prepare presentation materials for the Board of Director meetings
  • Confidentiality and discretion in handling sensitive information key
  • Other duties as assigned.

Education and Experience:

  • High school graduate or GED equivalent
  • At least 8 years prior experience as an Administrative Assistant and 5 years supporting of Corporate Executives experience preferred
  • Experience working independently in a fast-paced environment with rapidly changing priorities

Training, Skills and Certifications/Licenses:

  • Business professional writing and verbal communication skills
  • The ability to prioritize multiple projects and work under a tight schedule
  • Proficiency in Microsoft Office, including MS Outlook, Word, PowerPoint and Excel

Work Conditions:

  • Must work onsite at Luminex office
  • No travel is required
  • Flexibility in work schedule
  • Ability to handle pressure of meeting tight deadlines
  • Frequent work in high stress environment in direct contact with others
  • Physical Demands: All positions require standing, stooping, bending, climbing, sitting, kneeling, and lifting at least 10 lbs. Additional physical requirements are listed below:
