With minimal supervision, the Executive Assistant provides executive-level and administrative support to and serves as the primary point of contact for the offices of the ANA and American Nurses Credentialing Center (ANCC) Presidents. Performs, within a defined schedule, complex and routine activities; balances multiple competing priorities; exercises good judgement in a variety of situations; handles confidential matters with discretion; and establishes and maintains good relationships with volunteer leaders and staff at all levels across the ANA Enterprise. Supports governance and strategic planning activities for the ANA Enterprise.

The incumbent is privy to confidential matters including personnel issues, internal labor relations, financial reports, proprietary information, strategic relationships, and legal matters and reports to the Vice President of Governance and Planning.

DUTIES

Executive Support

  • Manages the ANA and ANCC Presidents’ schedules, including internal and external meetings, travel arrangements, speaking engagements, and media interviews.
  • Researches and follows through proactively on issues addressed to the ANA and ANCC Presidents, including those of a sensitive or confidential nature, and ensures appropriate course of action, referral, or response.
  • Solicits, organizes and distributes materials for regularly scheduled meetings of the ANA or ANCC President and executive-level staff and ensures completion of identified follow up actions.
  • Solicits, organizes and distributes materials for regularly scheduled meetings of the ANA or ANCC President with elected and staff leaders of external organizations (e.g., American Academy of Nursing, Tri-Council) and ensures completion of identified follow up actions.
  • Serves as the Executive Office administrative liaison to the Communications Department to ensure timely development of presentations and speeches for the ANA President, ANCC President and the ANA Enterprise CEO.

Governance and Strategic Planning Support

  • Provides administrative and logistical support to staff in the Governance and Planning Department for their work with the boards of directors/trustees of ANA, ANCC, and the American Nurses Foundation; ANA Membership Assembly, ANA Leadership Council; ANA and ANCC governance committees; and strategic planning.

Administrative

  • Reconciles expenditures and expense reports for the ANA and ANCC Presidents and, if needed, the expenditure and expense reports for the CEO and other Officers. Acts as a support resource for the Contingency Plan Implementation Team.

QUALIFICATIONS REQUIRED

Education: Bachelor’s degree or equivalent experience.

Related Work Experience: Seven years senior administrative or executive-level assistant experience with at least of five of those years in support of multiple elected and executive-level association leaders including, managing complex schedules and meetings, handling incoming and outgoing communication, developing documents, and handling logistics.

  • Exceptional interpersonal skills and diplomacy when interacting with a variety of stakeholders, including elected and appointed ANA leaders, members, senior staff leaders, external officials, colleagues, and outside contacts.
  • Exceptional ability to be discrete with highly-confidential and politically-sensitive information.
  • Demonstrated knowledge of the association industry.
  • Ability to work independently without close supervision.
  • Strong organizational skills to prioritize time and complete tasks and projects within defined time frames.
  • Ability to coordinate and follow through on several projects concurrently.
  • Proficiency with Microsoft Office software and applications.
  • Knowledge of web-based software applications.
  • Strong analytical and problem-solving skills.
  • Strong verbal and written communication skills to transmit messages and information, edit written materials, etc.
  • May require local travel and overnight/on-site support for two annual meetings, up to 5 days.
