Executive Assistant to CEO / Office Manager

Georgetown Financial Group, Inc. (GFG) is a rapidly growing financial services intermediary firm that supports independent financial advisors and insurance brokers around the country. GFG provides practice management coaching and guidance, succession planning assistance, marketing support, compliance and supervision services, insurance planning and solutions, and insurance underwriting support to financial advisors and insurance brokers in 17 states. The firm is based in Georgetown, CT and has an office in Pleasantville, NY. It also has employees that work remotely, and it has sales branch offices around the country.
Job Responsibilities:
- Serve as the “gatekeeper” for the CEO’s office, ensuring smooth functioning of activities and processes across multiple lines of business. This includes the screening of telephone calls, clients, guests, and prioritizing emails, people, and situations in need of attention.
- Manage the day-to-day needs of the office and handle confidential and sensitive information with a high degree of professionalism, discretion, and confidentiality.
- Actively manage and maintain the CEO’s time and calendar to ensure that critical projects, meetings, and goals are successfully accomplished.
- Assist the CEO in creating, editing, and polishing reports, documents, and other materials to communicate effectively with the entire organization.
- Arrange meetings, create agendas, drive action items, and ensure all meetings run effectively.
- Partner with the senior leadership team to help drive quarterly goal setting and management performance reviews.
- Manage all the CEO’s travel arrangements, coordinate schedules, and organize functions to provide the most productivity for the CEO.
- Manage human resource matters, including health and welfare benefit plans, staffing decisions, scheduling employee performance reviews, and tracking staff PTO.
- Manage office systems and technology, including IT vendor relationships
- Manage special projects, including large-scale meetings and conferences.
- Perform administrative work responsibly and in a timely manner, exercising considerable independence and sound judgment in decision-making.
- Be the CEO’s eyes and ears within the office and organization to provide feedback and input
Position Requirements:
- Bachelor’s degree strongly preferred.
- Prior experience supporting a C-level executive preferred.
- Works well with little to no supervision.
- Demonstrates initiative, flexibility, teamwork, maturity under pressure, and anticipates and resolves problems.
- Demonstrates experience managing complex projects or coordinating large-scale events.
- Excellent written and verbal communication skills.
- Incredible organizational skills; must be detail-oriented.
- Outstanding ability to prioritize and multitask.
- High level of proficiency in Microsoft Office suite.
