We are excited to hire an Executive Assistant to support the CEO of a technology incubator and investment holding company. This is an exciting role at a very innovative company. This position is based in San Francisco offices but may require travel to other site locations. The EA will have to have strong organizational skills, be able to multitask smoothly and a great communicator.
Responsibilities:
- Act as gatekeeper and first point of contact for CEO
- Calendar management: proactively and systematically manage complex schedules and activities across multiple locations
- Proactively anticipate the needs of the CEO and take action accordingly
- Coordinate all aspects of travel including booking flights and ground travel, confirming hotel and dinner reservations
- Employ savvy business sense when making decisions on behalf of the CEO
- Take ownership of the CEOâs ever-changing calendar, manage conflicting appointments using keen judgment, and streamline their day
- Work in conjunction with the team to tackle projects and ensure a rapid and smooth workflow in the office
- Keep the CEO abreast of all upcoming priorities
- Coordinate meetings and prepare conference rooms, amenities, and presentation materials
- Use clear and effective communication style when collaborating with remote team members, clients, and high priority contacts
- Exhibit the ability to thrive and be productive in a fast-paced environment.
- Process expense reports for reimbursements, ensuring total accuracy and organization
- Provide additional high-touch administrative support as needed including some personal administrative support
Qualifications:
- 3-5 years of experience in a role requiring administrative support and/or project management
- Bachelor’s degree
- Demonstrated ability to handle confidential matters with tact and discretion
- Polished interpersonal skills; strong written and verbal communication abilities
- Highly organized and diligent
- Experience exercising discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively and prioritize work
- A sense of urgency and the ability to prioritize and execute multiple projects/tasks with hard deadlines – you are always one step ahead of any road-block
- Tech savvy with experience using Google Apps
- Impeccable time management and problem solving skills
- Demonstrated ability to remain energetic, positive, organized and focused in a fast-paced startup environment
- A willingness to roll up sleeves and get things done
- Ability to work nontraditional hours in non-traditional settings
Salary: $100-120k + bonus
