Job Purpose – Under direct supervision, plan, organize and implement administrative activities for multiple assigned members of senior management. Act in a confidential capacity with regard to employee relations, compensation, staffing and various other corporate activities. Remain flexible to change in working with projects/assignments/tasks and align priorities as needs arise, in conjunction with, senior management’s priorities.
No negotiation on salary or benefits. Must have a minimum of keyboarding skills of 70 WPM (test will be administered prior to interview).
Job Responsibilities
- Manages a broad range of administrative tasks and compliance projects while prioritizing the calendar of senior manager’s and operational meetings, requiring significant coordination and follow-up.
- Responsible for managing assigned budget and resources, expense reports and reconciling transactions.
- Using sound judgment and initiative to make decisions within the scope of their authority.
- Answer and screen calls/visitors in a pleasant manner. Provide excellent service at all touchpoints.
- Prepare executive level presentations, memos, spreadsheets and other correspondence.
- Interacts with clients and board members on a regular basis.
- Manages special projects as assigned.
- Provide additional support such as supply orders, faxing, scanning, photocopying and tracking documents.
- Attend meetings as required to capture minutes and action items.
- Assist in the preparation of monthly reports for the Senior Management Team and Board.
- Serve on the Disaster Recovery Committee. Ensure that emergency procedures and security manual are updated regularly and work on appropriate testing at a minimum of annually.
- Ensure that governmental forms are completed and filed in a timely manner.
- Update various platforms (i.e. social media, telephone, rates) as assigned.
- Assist in the on-boarding process of new employees (new hire forms, payroll, benefits etc.)
- Coordinator for the Vendor Management Software.
- Assist in scheduling meetings, venues, events etc.
- Liaison with external auditors and examiners.
- Perform other duties as assigned.
