RESPONSIBILITIES

  • Oversees and maintains record book for utilization of Board Room and Executive Conference Room.
  • Supplies inventory is maintained. All storeroom and purchase requisitions are prepared via computer and verified with the purchasing department.
  • Compiles and reports, as directed, confidential studies or data concerning budgets, new plans, programs, etc.
  • Compiles information and completes AHA Annual Survey on line.
  • Responsible for processing professional memberships, including check requests and record keeping for President.
  • Sends cards and/or flowers to employees, members of employees’ immediate families, members of Board, Medical Staff, etc. during period of hospitalization or bereavement. Notifies President of above
  • Organizes and maintains general files, corporate and/or legal files to assure information is readily retrievable as needed.
  • Opens and sorts President’s mail, forwarding mail to appropriate individual and/or department when necessary. Assures mail requiring immediate action is brought to the attention of the President.
  • Volunteers are utilized to perform a variety of special projects and are supervised to ensure tasks are completed within time specified.
  • Works on projects of a highly confidential and sensitive nature such as contracts, agreements, acquisitions, affiliations and joint ventures at the request of the President and/or Board of Directors.
  • Interacts with the Administration of Covenant Health Systems in providing information/documentation as needed for the development and implementation of new programs, policies, acquisitions, etc. throughout the network system or as needed in the decision-making process by the CHS Board of Directors.
  • Serves on various hospital committees as a representative of the Executive Office as requested by the President.

JOB SUMMARY

Assists the President by assuming responsibility for coordinating, compiling, researching various programs/projects and providing secretarial support for administration and the Board of Directors of the hospital and subsidiary organizations. Provides secretarial support for VP, Medical Affairs. Every St. Joseph Hospital employee is required to abide by the Standards of Conduct and to report any activity that appears to violate the Standards of Conduct.

QUALIFICATIONS

Ability to work independently and interact with people in a professional manner. Knowledge of word processing, shorthand and/or machine transcription. Associate Degree in Secretarial Sciences or equivalent through 5-7 years prior experience on senior secretarial level.

Schedule: Full Time, Day Shift, 8a-4:30 p and some eve hours
